Common Interview Questions for Clinical Trial Assistant

Prepare for your interview by reviewing these frequently asked questions. Click on a question to reveal the answer.

Describe the end‑to‑end process you follow for preparing and dispatching Ethics Committee (EC) documents.

I start by retrieving the latest EC documents from the central drive, verify completeness, and print them on official letterhead. I then organize the documents into site‑specific folders, cross‑check the submission checklist, and ensure all signatures are in place. Before dispatch, I log the package in the tracking system, attach a courier label, and send it to the site with a confirmation email. I also update the MIS with the dispatch date and retain a copy for audit purposes.

How do you ensure the integrity of Investigational Medicinal Product (IMP) during shipment?

I coordinate with the pharmacy team to label the IMP according to the study protocol, verify temperature‑sensitive packaging, and generate a temperature log sheet. I select a certified cold‑chain logistics vendor, confirm the shipment schedule, and obtain a chain‑of‑custody document. Upon receipt at the site, I request a temperature deviation report and reconcile it with the shipping records before updating the IMP tracker.

What steps do you take to prepare a Site Initiation Visit (SIV) kit?

I first review the study master file to list all required items such as NS bottles, syringes, digital clocks, thermo‑hygrometers, data loggers, and infusion pumps. I then coordinate with the Clinical Research Department to procure or calibrate each item, assemble them in a labeled kit, attach the study protocol and site‑specific SOPs, and perform a final quality check. The kit is then logged in the inventory system and dispatched with a courier tracking number, followed by a confirmation call to the site.

Explain how you manage site payments and invoicing.

I generate the site invoice based on the number of enrolled patients and study milestones, referencing the Clinical Trial Agreement for rates. After drafting, I send the invoice to the site and request a signed copy. I prepare an Inter Office Memo with signatures from the Project Manager, HOD, and COO, then forward the package to finance. I monitor the payment status in the finance portal and follow up with the site for any discrepancies, ensuring timely reimbursement.

How do you coordinate travel and logistics for phlebotomists?

I receive the phlebotomist schedule from the site, book airline tickets, arrange hotel accommodations, and process advance payments. I compile a travel itinerary that includes flight details, hotel address, and local transport options, then share it with the site and the phlebotomist. I also ensure that the phlebotomist has the necessary sample collection kits and that the site is prepared for the visit.
